Booking guideBook an appointment in four steps

For a business open for bookings, choose a service, time and contact details. Only your final confirmation creates the appointment.

  1. Check the business and location. Choose the main treatment, suitable extras and an available professional.
  2. Choose an available time and review the total price and duration. A temporary hold is not a confirmed booking.
  3. Enter contact details where you can be reached. Review the summary and explicitly confirm the appointment.
  4. The labelled product demo uses sample data only. It creates no real booking, payment or message. Private business drafts remain protected.
Booking guideAdd suitable extras to your treatment

Suitable extras are included in the price and time calculation. The calendar finds an available period for the whole selection.

  1. Choose a main treatment. Compatible approved extras appear as visible selectable cards directly above the calendar. Price, added time and the new total duration are shown.
  2. Care already included is not charged twice. For hand treatments, polish and French are alternative finishes.
  3. Review the total price and duration before choosing a time. The business sets its services and timings; a service without a confirmed duration remains unavailable.
Appointment managementReschedule or cancel an appointment

Your personal appointment link opens your existing booking. Keep it private.

  1. Open the link on the confirmation page or in your appointment email. Do not share it publicly.
  2. To reschedule, choose an available time, review the details and confirm the change.
  3. Cancellation is a separate action with another confirmation. Check the business’s terms, then review the displayed status and appointment email.
AvailabilityUnderstand availability and overlapping appointments

The selection shows suitable available start times. The server checks availability again when the booking is finally saved.

  1. Choose the service and extras first. The full treatment time, including the planned buffer, must be available.
  2. If a time has since been taken, choose another after the message. Many rapid repeated attempts may be temporarily limited.
  3. The existing studio calendar checks suitable staff. Separate native business setup checks its assigned rooms and equipment; this is not a shared resource adapter for every calendar.
  4. Processing phases without assigned staff and scheduling across locations are outside the current starting scope.
One-time importSave appointments in Google, Apple or your phone calendar

Add your appointment to Google or import the calendar file into Apple, Outlook or Proton. This saves a copy.

  1. Below the confirmed appointment summary, choose Google Calendar / Android or Apple, Outlook, Proton · Calendar file. Check the selected account and save or import the event. Other calendar entries are not read.
  2. On Android, open the downloaded ICS file with Proton Calendar. On a computer, use the calendar settings to import ICS.
  3. A reminder 24 hours beforehand is prepared. Check app notifications and background permissions; display is not guaranteed.
  4. The copy does not automatically follow later changes or cancellations. Check your personal appointment link and update or remove the old copy yourself.
Time displayRead local time and daylight saving time correctly

Use the business’s displayed local time. The time zone for Austria is Europe/Vienna.

  1. Check the location and time zone shown in the appointment summary.
  2. Vienna, Berlin and Zurich share summer and winter time. When travelling, your phone’s time may differ from the business’s local time.
  3. Check the date and time before confirming. Time selection uses the 24-hour format; another time zone can be selected in the designated section.
Access and permissionsWho may view or change which data?

Customer accounts, business management and platform administration have separate permissions. Always use your personal login.

  1. A customer account shows only its own assigned data and grants no staff or business-management rights.
  2. Owners and explicitly authorised staff manage their assigned business. Creating a team profile alone activates neither a login nor platform rights.
  3. Platform administration is a separate login. Bookings, module access and colour choices grant no reseller, master or white-label rights.
  4. Sign out on shared devices. Never enter passwords or personal appointment links in help fields or public messages.
Personal viewBusiness colours and your personal view

My view changes only your screen colours. The authorised business manages its shared visual identity.

  1. Choose a personal colour preset. Without your own selection, you see the business colours or TerminKing default. Logos, prices, appointments and permissions remain unchanged.
  2. With a verified sign-in, the selection can be saved to your own account for that context. Without signing in, only this browser remembers it; private browsing or blocked storage may prevent saving. Check the save message.
  3. Use studio colour removes only your personal override. Only owners or users with existing design permission may change shared business colours by explicitly saving for their business.
  4. Check readability when using custom colours. Personal screen colours do not change approved email, PDF or invoice designs. Sign out on shared devices.
EmbeddingEmbed the calendar on your own website

A released business calendar can be embedded or linked directly. External websites need their own integration checks.

  1. Use the correct business calendar address and a clear label. Keep a direct link and business contact visible as alternatives.
  2. The TerminKing business page adjusts the frame height using verified messages from its calendar window. External websites must separately configure and test embedding, origin checks and security rules.
  3. Check the display and every booking step on mobile too. Embedding neither publishes a private draft nor connects external calendar accounts.
Dashboard supportSend an unanswered question to the TerminKing team

The digital assistant searches our guides. Signed-in users can prepare a support request if no suitable guide is found.

  1. Open Help & Support in your dashboard. Describe the question without customer, health or login data.
  2. Review the message, business and reply address. Only Send to the team transmits the previewed text to support@terminking.com.
  3. The full conversation is not sent. Mail-service acceptance is not proof of reading and does not promise a response time.
No external language modelHow help handles your data

Help search and the dashboard assistant use our own guides. No external AI provider is connected.

  1. Public search works without JavaScript. Instant search remains in your browser; submitting the search form puts words in the URL and possibly server logs. Do not enter private details.
  2. Dashboard questions go to the same server without conversation history. A support email contains only the separately reviewed text, business ID and profile reply address.
  3. Minimal technical send records, without message text or email address, are kept for up to 30 days for abuse and duplicate prevention. The support mailbox contains the email; its deletion policy and full operator notices must be set before real business operation.
Technically checked, not a compliance declarationUse help with a keyboard, zoom or phone

Clear labels, visible focus and scalable text make help easier to use.

  1. Use Tab and Shift+Tab for fields and links; Enter opens links or submits forms. Topic guides expand without JavaScript.
  2. Escape closes the help dialog and returns focus. Browser zoom is not blocked.
  3. Report barriers to support@terminking.com with device, browser and location of the issue, avoiding personal data. The complete booking and administration flow still needs a comprehensive assistive-technology review; this is not a compliance declaration.
In preparationOnline training and assisted setup

Telephone and video consultation can be ordered for EUR 55 net per 60 minutes under Service & support. Topic and time are agreed separately; a video library is planned.

  1. Start with the short guides and dashboard help. Help does not alter appointments or permissions.
  2. For personal guidance choose Telephone & video consultation. Group workshops and video courses remain separate planned offers.
  3. Topic, duration, participants, time and total price are confirmed before an order. No meeting or charge is generated automatically.
  4. Use a fictitious sample business and no recording by default. Do not share passwords, real customer lists or treatment data.

New business pilotSet up your business calendar step by step

Your personal WordPress account sets up a new test calendar without changing the existing GlowMed calendar.

  1. Open My setup, register or sign in and verify your email. Reminders are optional.
  2. Choose industry, company, location and hours. Check each service price and duration, confirmed skills and shared resources.
  3. Under Location & hours, enter closed days or business holidays using From and Through. Both dates are included. The nationwide Austrian holiday template is optional and only for businesses whose country is AT; enter regional and additional closures yourself.
  4. Under Staff & skills, record leave and absences for each staff profile as whole closed days, including the final day. Confirmed appointments are retained and conflicts need explicit review; appointments are not automatically moved or cancelled.
  5. The initial scope covers one location, continuous staff attendance and confirmed preparation and follow-up time. Every specific room, device and item of equipment assigned to a service is required and remains occupied for the whole interval. The business must confirm device supervision and hygiene times.
  6. New treatment phases that release staff and shared planning across locations are outside the initial scope. Existing phases remain visible and saved unchanged; a treatment with time without staff attendance is not reinterpreted as a simple treatment or made newly bookable.
  7. Incomplete drafts are saved on the server. Wait for Saved. Continue on another device using the same account; resolve version conflicts by deliberately loading the server version.
  8. Open Calendar access in your setup and link your own company draft. Published calendars require a separate migration; existing free operator rights are not changed by this process. The operator selects the correct company, documents the scope and reason, and authorizes one to 31 days. This authorization confirms no payment and creates neither an invoice nor an invoice number. As the owner, then check the booking preview and confirm the calendar setup. New bookings are saved only while central authorization is current. Availability continues to depend on services, staff, resources and opening hours.
  9. Open customer view opens the active booking page in a new tab. Drafts use Open booking preview and remain protected by your account.
Open my setup →
New business pilotPause setup or stop reminders

Pausing does not delete your draft. Setup reminders require separate consent.

  1. At the start you may allow up to three reminders, normally after at least 24, 72 and 168 hours without activity. Activity postpones them without increasing the total.
  2. Sign in to resume the saved step. A reminder link never replaces your password; expiry does not prevent normal login.
  3. Turn reminders off in the start step or via the opt-out link. They also stop when assigned assistance takes over or activation is completed.
  4. SMTP acceptance is not delivery proof. Assistance can block undeliverable addresses; automatic setup-bounce processing is not connected.
Open my setup →
New business pilotRequest help and agree costs beforehand

A non-binding help request is free. Paid personal services are ordered separately under Service & support.

  1. Choose Request help without commitment. Saved details remain and explicitly assigned advisers may work in the same draft.
  2. For advice, programming, price-list import or branding, review scope and total in Service & support. Existing individual assistance offers remain separate.
  3. A concrete offer defines scope, communication method, net hourly rate, VAT, time increments, minimum duration, estimate, travel and cost cap. Check tax and terms before a real order.
  4. Only an explicit paid order permits time recording. Saving again creates no duplicate; work beyond the agreed cap is rejected.
  5. The pilot issues no invoice and collects no money for this setup offer. The owner confirms calendar release in their account.
Open my setup →
Temporary holdWhy is a time held temporarily?

A confirmed temporary hold gives you time to finish. The countdown is not an appointment confirmation.

  1. Choose an available start time. The remaining time appears once the server confirms the hold.
  2. Other people see no names or contact details. A temporary hold is different from a confirmed appointment.
  3. After expiry or release, “Choose an available time again” appears. Use it to choose another time; your contact details are kept. Final booking requires a valid hold.
  4. Only final confirmation saves the booking. If the response is unclear, check the appointment status or email before booking again.
Partly availableUse Proton Calendar

Calendar files can be imported. Proton does not support direct two-way CalDAV sync.

  1. After booking, download the calendar file. Proton on Android imports it directly; on a computer use Import from ICS.
  2. Proton also supports email invitations, but our invitation transport is not yet active.
  3. A future private calendar subscription is read-only. Proton describes external updates taking 4–16 hours, which cannot provide immediate booking locks.
  4. Future SMS or WhatsApp may link to your appointment view. A link does not grant access to your entire calendar. These transports are not connected.
In preparationDistinguish tips from appointment bookings

Live online tipping has not been released. You can book without a tip.

  1. Tipping is voluntary and is not required for an appointment.
  2. An earlier test pledge or test journal proves neither a payment received nor a payout to staff.
  3. Online payment handling, receipts and actual internal settlement need a separate release. Normal booking collects no tip.
Only with an enabled connectionOrder and redeem treatment packages

Packages can be used only when the business has configured them and enabled its connected calendar. Publishing a business page alone does not activate packages.

  1. Review the treatment, number of visits, total price and package terms. Sign in with your verified customer account for that business.
  2. An order is initially unpaid. No online payment provider is connected. Units become available only after payment is actually received and explicitly confirmed by the business.
  3. In a connected booking calendar, select the suitable paid package, review the benefit and balance, then confirm redemption. A unit covers the matching main treatment; extras remain payable. A package and points reward cannot be combined.
  4. Available, reserved and used units are recorded separately. An eligible cancellation returns an unused unit; treatment completion and refunds require the relevant business record.
  5. Finite package appointment series use a separate technical flow and are not a generally released combination with resources or points. Arrange several visits directly with the business if needed. This creates neither a subscription nor an automatic charge.
Available on invoiceOrder personal assistance with a clear price

Advice, programming, price-list import and branding are separate personal services. Prices are net plus VAT.

  1. Open Service & support from setup or the owner dashboard. Free help remains available separately.
  2. Use each question mark to review tasks, materials, limits and correction rounds. Select the service and any hourly budget.
  3. Enter invoice details and a short goal without passwords or customer data. Review net amount, VAT, total and downloadable terms. Other countries or unconfirmed price proposals start as quote requests.
  4. Explicitly confirm and submit. A green saved status, reference number and downloadable record confirm receipt. Acceptance, scheduling and invoice follow separately; no money is collected here.
  5. Extra scope or hours require a newly confirmed order. Already included unfinished tasks are checked to prevent double billing; our errors are not excluded from corrections.

Only with an active programmeEarn loyalty points and redeem them for treatments

The business defines and publishes its loyalty programme. Verified customer accounts collect automatically with bookings; points are credited only after completed, paid treatment.

  1. Owners open “Loyalty points and treatment packages” in the studio dashboard. Prepare the points ledger if needed. Set the programme name, revenue in euros per earning unit, points per unit and minimum points. Example: at EUR 15 per point, EUR 30 in paid treatments earns 2 points. Fractions are retained.
  2. For each service reward, choose a main treatment, points cost and maximum saving. Extras and any remaining amount are payable separately. Save at the top or bottom and wait for the green server confirmation. Enable the programme and publish it in the customer area; this does not publish a company draft or grant new permissions.
  3. A free customer account can be selected at checkout. Email verification links the proven first appointment. An enabled, published programme requires no separate participation question. Marketing and reminder permissions remain separate.
  4. Expected loyalty points appear directly below the price when choosing a treatment and in the final summary. New appointment confirmations state the amount and expected points. This estimate is not a credit: credit requires a verified customer account and a completed, paid treatment. Price, extras and redemptions can change the estimate. Only redeeming a reward or package needs an explicit choice and confirmation.
  5. When creating an internal appointment, the owner can select an already verified, participating customer account and explicitly confirm the customer’s request. A freely entered email or customer identifier is insufficient. An assigned appointment cannot later be moved to a different person or service; an allowed reschedule retains the allocation.
  6. After the appointment, the owner or an explicitly authorised staff member confirms the completed treatment and the service amount actually paid. Only then are points awarded. Products, tips, reservations alone, unpaid orders and treatments covered by package credits do not earn additional points. Cancellation returns redeemed points; documented refunds adjust points earned. Authorised staff see only their permitted completions, with no programme settings or package sales.
  7. Points are personal, linked to this business and redeemable for services only. No cash payment, product purchases or transfers. Expiry is disabled by default. New periods apply to new memberships and must be clearly agreed in advance; existing entitlements must not be silently shortened.
  8. Optional points reminders can be selected separately, for example after 30 or 60 days, and withdrawn at any time in the secure account. Before sending, the hosting service rechecks consent, the current verified account email, available points and the absence of a future appointment. No message is sent without points, after consent withdrawal, for a paused programme or a private company draft. Safe retries are bounded; uncertain sending is flagged for review rather than blindly retried. SMTP acceptance does not guarantee delivery or reading. Current release evidence shows the scope actually accepted.
  9. Balances and checked redemptions belong to the verified customer account at the selected business. Switching accounts or signing out immediately clears previous displays and redemption confirmations; check the benefit again in the newly signed-in account. Entering a booking email does not open someone else’s balance. Personal appointment history shows only appointments already clearly linked to this account and does not add old guest appointments solely by matching an email address.
  10. The collecting programme can be enabled and published without a reward. Redemption requires a valid service reward. Both save buttons show progress, confirmation or the exact error. Entries remain intact after an error; check the message before saving again.
Loading helpCalendar not loading: contact the business

If loading fails, use the direct link or displayed business contact. A missing display does not confirm an appointment.

  1. Allow a moment for the calendar to load. If another loading attempt does not help, choose Open calendar directly.
  2. If booking remains unavailable, call the listed business and arrange an appointment directly. Report the technical problem using the provided contact.
  3. An intentionally private business draft is not an outage. It requires authorised sign-in or a protected customer preview. Never include passwords or personal appointment links in a problem report.
Appointment messagesConfirmation, reminder and cancellation emails

Confirmation, changes and cancellation are queued for delivery after saving. Check your email address carefully.

  1. A successfully confirmed booking creates a confirmation; changes and cancellation create separate messages. Marketing consent is not required for these messages.
  2. Reminders become due with five minutes’ lead time before the point 24 hours ahead of the appointment; the delivery service checks every five minutes. Short-notice bookings receive no additional immediate reminder.
  3. Check spam and contact the business if unsure. Handed to mail service means technical acceptance, not guaranteed receipt or reading.
  4. @example.invalid is for tests without delivery. Real appointment messages need a reachable address. Waitlist offers and newsletters serve separate purposes; an offer is not an appointment confirmation. Keep personal links private.
Data memory and accountRemember contact details or create a customer account?

Browser memory and a personal customer account are separate. The checkbox alone creates neither an account nor loyalty membership.

  1. Use Remember contact details in this browser only on your own device. The offered contact fields are filled locally on return; this feature does not save notes.
  2. Clear the checkbox to delete remembered browser details. This does not delete an appointment already booked.
  3. For a customer account, register separately with email and password and verify your email address. You can then sign in and reuse saved details. Booking without an account remains possible.
  4. Loyalty membership, offer information and newsletters are separate optional choices. Typing an email address does not transfer old guest appointments or somebody else’s credit.
Public discoveryWhich pages can appear in Google?

Public business pages and guides may be accessible to search engines. Personal appointments, accounts and administration do not belong in public search.

  1. Platform administrators manage Search Console and the public sitemap. Submission guarantees neither inclusion, timing nor ranking.
  2. The sitemap covers published public pages. Private previews, individual bookings and personal links remain separate; search should lead to the business profile and booking entry.
  3. Product demos, laboratory work and planned features remain clearly labelled. Search visibility grants no additional rights and publishes no business draft.
Business profile and bookingGet straight to booking on a business page

A short introduction identifies the business and location. Booking appears early, with further business information below.

  1. Check which business you are booking with. Choose a service in the embedded calendar or use the direct link.
  2. Images, help and contact support your selection. GlowMed’s detailed portrait sits before the footer; Back to booking calendar returns to booking.
  3. Newly configured businesses receive a brief introduction, booking area and business details. A freely edited long portrait with image management is not a general feature of native self-setup.
  4. For loading problems, use the direct link or business contact. Private drafts require authorised protected access. AI illustrations remain labelled as such.
Booking guideChoose a service and find an available time

GlowMed takes you from a service through available quarter-hour starts to your first name and contact details. Confirmation includes your personal change link.

  1. Choose a service. Its name, reserved duration and price appear together. Suitable extras are optional. Other businesses retain their existing booking view.
  2. At GlowMed, one tap selects the next available appointment. Alternatively, choose a day and an available start. The optional team filter defaults to “Anyone”. New starts use a fixed 15-minute interval; this step adds no dashboard setting.
  3. The day strip starts at the next confirmed available day within the checked period. “More days” opens the following period. Loading failures do not mean fully booked. Only available starts are offered; final availability is checked again before booking.
  4. Enter your first name and a mobile number or email. A note is optional. No address or customer account is required. Check the appointment and price, then complete the booking with “Book appointment”.
  5. Confirmation and “View or change appointment” appear immediately on the page. Keep this personal link. Appointment emails continue when an email address is supplied; no appointment email is sent without one. Existing appointments, prices and service durations are preserved.
Personal customer accountCustomer account: sign in and reuse your details

A verified customer account makes your next booking easier and shows clearly assigned personal appointments. It is not a business login.

  1. Register separately with email and password and confirm the link in your email. Existing users sign in with their personal credentials; Forgot password provides a one-time reset link.
  2. Explicitly reuse saved contact details and check them before each booking. My appointments shows assigned personal appointments; older guest bookings are not imported solely from the same email address.
  3. Loyalty points, packages and waitlists require the appropriate business enablement and connection. Signing in alone creates neither credit nor an appointment.
  4. Offer information is a separate optional choice. Automatic newsletter, SMS and WhatsApp delivery is not connected. Sign out on shared devices and, if needed, also clear the separate browser contact memory.
DE / EN / FRChoose the language for booking, account and emails

German, English and French are the released portal languages. The language saved with a new booking also applies to later appointment messages.

  1. Open the language selector and choose Deutsch, English or Français. Review your booking selection again after the page reloads.
  2. Translation does not change personal entries, names, amounts or appointments. Business and treatment descriptions need their own suitable translations.
  3. For business and staff accounts, the saved account language remains unless a new choice is made explicitly. A staff member’s or delivery job’s language does not later change a booking’s language.
  4. Additional languages need their own complete texts and checks. No external automatic AI translation is connected.
HTML and plain textAppointment emails: clear design and the right language

Confirmations, changes, reminders and cancellations contain the same essential information in a designed email and a plain-text version.

  1. The message names the business, treatment, date, time, time zone and staff member. The saved business contact helps with questions. An approved business logo may be included; the business name stays readable without images.
  2. The main button opens appointment management or, after cancellation, returns to booking. A visible text link offers the same action if your email app does not display the button. Keep personal appointment links private.
  3. German, English or French follows the language saved with the booking. A later language change by the person operating the mail service does not change that appointment’s language.
  4. A plain-text alternative is included for programs without HTML. Appearance can vary between email apps. No scripts or external fonts are required.
  5. An email is not proof of payment. Technical SMTP acceptance does not prove delivery or opening. If a message is missing, check the address, spam folder and business delivery status.
With an enabled waitlistWaitlist: receive suitable appointment offers

When the business enables its waitlist, verified customers can optionally submit requests. An offer is not yet an appointment.

  1. Sign in with your verified customer account. Choose the service, optional preferred staff, dates and daily time window.
  2. Separately allow suitable messages for this request. This is not newsletter registration. You can withdraw the request.
  3. An offered time can be accepted for 15 minutes and is not held exclusively. Review the price and time, then explicitly accept; the server checks availability again.
  4. Only successful booking confirmation creates the appointment. Expired or taken offers cannot be accepted. No online payment occurs; check the current status first if a response is unclear.
RebookingPrepare a new request from an earlier appointment

Rebooking prepares a new appointment request under current terms. The earlier appointment remains unchanged.

  1. Open the offered rebooking option in your verified customer account. Only appointments assigned to this account and business are used; the same email address alone does not import old guest bookings.
  2. Review the currently offered service, professional, duration and price. Choose a new available time and explicitly confirm the booking.
  3. Rebooking is not an automatic appointment series, payment or ongoing calendar sync. Points and packages work only in a suitably enabled and connected calendar.
After business approvalLink a business calendar and authorize its use

The owner account, calendar setup and temporary usage authorization remain separate. During the transition, the operator issues invoices personally.

  1. Sign in with your personal owner account and verify your email. Check and save the company details, services, staff, resources and opening days.
  2. Open Calendar access in your setup and link your own company draft. Published calendars require a separate migration; existing free operator rights are not changed by this process.
  3. The responsible operator signs in with their own account. That account must also be registered in the central Core for the correct seller; a WordPress administrator role alone does not authorize usage grants.
  4. The operator selects the correct company, documents the scope and reason, and authorizes one to 31 days. This authorization confirms no payment and creates neither an invoice nor an invoice number.
  5. As the owner, then check the booking preview and confirm the calendar setup. New bookings are saved only while central authorization is current. Availability continues to depend on services, staff, resources and opening hours.
  6. Check central authorization status shows the operator the period and version. Revocation applies to the specific authorization. Expiry or revocation blocks new bookings; saved appointments, authorization evidence and original invoices are preserved. Automatic billing and additional providers are separate extensions.

BankbestellwegOrder your calendar by bank transfer

Pay monthly or annually. Current prices and the shared promotion deadline appear on the home page and in your order summary.

  1. Ordering is available to businesses in Austria with 20% VAT. Enter your company, contact, billing address and desired short company address, then check the order summary.
  2. The contract and billing start upon documented manual acceptance. Minimum term: twelve months. Cancel one month before the end of the contract year; otherwise renewal for twelve months. Monthly plan billed monthly; annual plan paid yearly in advance. The agreed price remains valid for the entire uninterrupted contract. Business approval does not confirm payment.
  3. After ordering, you receive confirmation and the original invoice with bank details and a unique payment reference. No money is collected. Payment remains open until receipt of the transfer is confirmed.
  4. Manual company approval prepares your personal access. You receive a time-limited, single-use link to set your own password. Company approval does not confirm payment.
  5. We agree the setup, services, team and hours with you. The one-time setup normally costs EUR 590 net and is waived during the promotion. Contract & invoices contains originals, contract dates, payment status and cancellation.
  6. During the promotion, the monthly plan is EUR 55 net instead of EUR 69, and the annual plan EUR 529 net instead of EUR 662. The agreed price stays valid for the entire uninterrupted contract. Regular prices apply to new orders after the displayed deadline.
